Toastmaster of the Evening

Hello there!

Your lovely VPE Hamzah here to provide you another guide, once again :)

TME is one of the most amazing, stressful, but still amazing roles to have as it is the closest that you can get to practise your emcee-ing skills in our chapter meeting! To be frank, there is no exact style of “running the show”, but based on my experience there is a specific structure to all chapter meetings (for more information, get your mentor to help you out).

Chapter Meeting Structures

Meeting Sergeant at Arms (SAA) introduces you and hands it over.

  • Thank SAA
  • Greet club president, and fellow toastmasters and guests
  • Introduce the following appointment holders (their intro first, then their TM title and name): SAA, Timer, Ah Counter, Table Topics Master, and GE (for this you can choose to intro him/her either at this phase, or when his/her segment is about to start)
  • Introduces President for opening address

President finishes opening address and passes the stage back to you

  • Thank the President
  • Give some comments that uplift what was delivered by speaker (eg. really inspiring speech that i also want to be like the president)
  • Continue with the prepared speeches

Start of Prepared Speech

  • For every speaker, do the following:
  • Mention first/second/third/fourth speaker (no name yet)
  • Invite project evaluator to read out purpose of the project
  • Read out timing sequence (need to work with timer to be in sync), e.g at the 4th minute, the green screen will be shown → timer shows green background
  • Once the speaker is done, thank the speaker and also provide some uplifting comments.
  • Go back to point 1 again.

End of Prepared Speeches

  • And that is all for the prepared speeches! Can we have the Timer to present the Timer’s report?
  • Ask audience to vote for the best speaker

Refreshment Break or other events

Just introduce accordingly to relevant personnel to do their things (e.g birthday celebration, etc)

Start of Evaluation

  • Ask if audience is ready!
  • Project evaluation, all evaluators only have 2-3 minutes. Talk about timing sequence as well (2 - green, 2.5 - yellow, 3 - red, 3.5 - purple)
  • Same flow as for speakers: Mention first / second or third evaluator, no names, Read out intro, Welcome evaluator onstage
  • Repeat till all evaluators are done!

End of Evaluation

  • And that is all for the prepared speeches! Can we have the Timer to present the Timer’s report?
  • Ask audience to vote for the best evaluator

For Table topics, just follow the same thing, just that you will hand it over to the table topics master :)

Once done, TTM will hand it back to you and you will hand it back to the President for the closing address.

Sample Toastmaster of the Evening Script

Below is a sample TME script that i used in the past for my TME duties. Feel free to make a copy of it and modify it to suit your style! Remember, you are the one leading this chapter meeting. Be natural, be yourself, and as always, have fun :)

Thank you so much, and an amazing evening to one and all! Welcome to the _th Chapter Meeting! It is an honor to be given the opportunity to be the Toastmaster of this delightful evening for my AMAZING family, Tampines Changkat.

Before we proceed on with our meeting, I believe that it is crucial that we honor these appointment holders, whom you may think that their jobs are simple, but they certainly aren’t:

The Sergeant-At-Arms for tonight’s chapter meeting ensures that the meeting is on schedule as well as ensuring that the food provided to both our members and guests are well taken care of. His introduction is as follows:

The timer’s responsibility involves the precision of not only recording the exact number of minutes and seconds for speakers and evaluators, but he ensures that any person who takes the stage will be mindful of the time provided. When asked for his/her introduction, it goes something like this:

The Ah Counter for this evening has officially been reinstated as a member of Tampines Changkat Toastmasters (finally!). Ever since she has achieved her dual membership status, has suffered a huge, massive blow.. To her wallet. However this has driven her to be “slightly” obsessed with earning every 10 cent that she can get from the ‘ahs’, ‘umms’ and other filler words during the chapter meeting.

Honing her superb listening ability skills with the intent to grow our club fund, a round of applause for Toastmaster __________

Thank you ______ for the word of the day. Let us all ensure that we use the word of the day not only within our speeches and evaluations, but also our conversations that we have with each other throughout the chapter meeting, or even the refreshment breaks.

[Prepared Speeches]

Next will be the Prepared Speeches segment, in which our three speakers for tonight have practiced long and hard for this moment.

The first speaker is presenting an Icebreaker speech as part of his Level 1 project on the Innovating Planning Pathway Track. I would like to invite his project evaluator ________ to read out the project objectives.

Thank you _____. The project speech duration is about 4 to 6 minutes, and the timing sequence for the speech is as follows:At the 4th minute, the green light will be shown.At the 5th minute, the amber light will be shown.At the 6th minute, the red light will be shown.The speaker has 30 seconds to wrap up the speech before the bell goes.. “ring”

Welcome back everyone! Glad to see at everyone has at least enjoyed the refreshments tonight. Can we give a round of applause to our SAA and the members who helped out to provide the food for us?

Next on the meeting line-up is the Prepared Speech Evaluations! This is the time when Toastmasters provide constructive feedback to our speakers in order for them to deliver future speeches to greater heights!

All evaluators will only have 2 to 3 minutes to present their feedback, and the timing sequence is as follows:At the 2 minute mark, the green light will be shown.At the 2 minutes 30 seconds mark, the amber light will be shown.At the 3 minute mark, the red light will be shown.The speaker has 30 seconds to wrap up the speech before the bell goes.. “ring”

And now the moment most of us have been waiting for, the Table Topics segment. For those guests who are unaware of what Table Topics is, it is one of the most exciting but nerve-wrecking segments that involve creating a short speech with a topic determined by our lovely Table Topics Master.

The final evaluation, is the BIGGEST one of them all: the General Evaluation. The General Evaluation provides feedback to not only the proceedings of the chapter meeting but also to the various appointment holders within the chapter meeting in order for all of us to enjoy high quality chapter meetings that is beneficial for all of us.

Our General Evaluator began his Toastmasters journey with Temasek Polytechnic Toastmasters in the year 2000, and joined Tampines Changkat Toastmasters in 2004. He had served in various capacities in early days like Club Vice President of Education and Area S4 Governor in 2005, and Club President and Division S Governor in 2006. An interesting fact that he discovered a couple of nights ago is that the last time he delivered a General Evaluation at our club was on 4 November 2010. Now almost 10 years later, to once again deliver the General Evaluation, please welcome Distinguished Toastmaster Nathaniel Koh!

It has been a truly amazing experience being the Toastmaster of the Evening for today, and I thank all of you for your energy, for your support, and for your love in making my night simply amazing.
